Job Overview
Reporting to the CEO and Board Members of yáqʷa, the yáqʷa Executive Assistant is responsible for providing comprehensive administrative and organizational support to the CEO by maintaining the efficient functioning of the office and enabling the CEO to focus on strategic priorities and maximize productivity. This includes overseeing schedules, arranging travel, drafting correspondence, managing confidential data, and upholding professional standards. Additionally, this position facilitates efficient meetings, serves as a liaison with stakeholders, and contributes to organizational success by enhancing productivity.

yáqʷa will play a major role in the Haisla Nation achieving economic self-sufficiency, by developing economic opportunities as they continue to become increasingly available. The goal of yáqʷa is to promote and advance economic activities that provide strong financial returns, employment opportunities and skills development for Haisla Members, while aligning with the Haisla Nation’s core values through strong governance practices. yáqʷa is structured to provide accountability, transparency, standardized reporting, and effective delegation of authority across the Organization.
Duties & Responsibilities
- Efficiently manage calendars and schedules ensuring timely coordination.
- Attend and coordinate all aspects of the Board members and CEO.
- Organize and coordinate meetings, including preparing agendas and packages, and ensuring all necessary resources are available for productive discussions within a tight timeline.
- Attend meetings as required.
- Manage the recording of meeting minutes, ensuring they are distributed promptly.
- Participate in the usage, maintenance, and enhancement of technology used in meetings and meeting preparation.
- Manage all aspects of travel arrangements, ensuring seamless coordination and efficiency.
- Facilitate effective communication by managing emails, phone calls, and other correspondence while ensuring professionalism.
- Handle sensitive and confidential information with the utmost discretion and integrity, always maintaining confidentiality protocols.
- Provide comprehensive administrative support, including drafting documents, and preparing presentations.
- Provide cross coverage, support, and advice on meeting management procedures to other members of the Administration & Communications team.
- Complete monthly credit card reconciliations.
- Maintain organized filing systems and databases to ensure easy access to relevant information and documentation.
- Utilize yáqʷa Purchase Order System, as required.
- Work with highly sensitive and confidential matters effectively and produce quality, error-free work in a high-pressure environment.
- Ensure compliance with the yáqʷa Personnel Policy and Manual.
- Other related tasks as assigned by the CEO.
Skills & Qualifications
- University diploma or certificate (1-3 years) in Business Administration or a related field.
- 1 to 3 years of recent related office experience.
- Experience working for a band government or Indigenous organization is preferred.
- Strong working knowledge of Microsoft Office (Excel, Word, Power Point, Outlook) and various databases, search engines.
- Strong working knowledge of Zoom, Microsoft Teams, and other meeting technologies.
- Strong organizational and time management skills with an attention to detail.
- Strong interpersonal, communication, and presentation skills with the ability to professionally connect with and influence a diverse group of individuals.
- Excellent interpersonal and communication skills, both verbal and written.
- Ability to meet intensive and changing deadlines.
- Ability to work independently and as a team.
- Valid BC driver’s license and own vehicle is an asset.
- Satisfactory completion of criminal records check (with vulnerable sector screening if relevant).
Compensation Range: $30.35 – $41.06
